Cancellation Policy

Effective May 27, 2026 · STRATOSIA DIGITAL PRIVATE LIMITED

This policy covers cancellations for the Zennor platform operated by STRATOSIA DIGITAL PRIVATE LIMITED. It covers (A) Zennor SaaS subscription cancellations and (B) patient-level clinic service cancellations.

Part A — Zennor SaaS Subscription Cancellations

How to Cancel

Email support@zennor.app with your clinic name, registered email, and reason for cancellation.

Monthly Subscriptions

Cancellation takes effect at the end of the current billing period. Full platform access is retained until that date. No partial refund is issued for unused days.

Annual Subscriptions

Cancellation takes effect at the end of the annual period. Access continues through the paid year. Pro-rata refunds are not standard — see Refund Policy for exception criteria.

Immediate Termination

Zennor may immediately suspend or terminate clinic access — without refund — for Terms violations, fraudulent use, non-payment beyond the 7-day grace period, or illegal activity.

Post-Cancellation Data Retention, Export, and Purging

Upon the termination, expiration, or cancellation of a Zennor SaaS subscription, the Clinic is granted a standard thirty (30) day grace period during which they maintain restricted access to export all patient CRM, billing, and clinical data. STRATOSIA DIGITAL PRIVATE LIMITED is a software provider, not a permanent medical records repository.

The Clinic acknowledges and assumes sole and absolute liability for complying with all statutory medical and financial record retention mandates (including, but not limited to, the Clinical Establishments Act, the Income Tax Act, and local state medical council rules) prior to the expiry of this 30-day window. Following the expiration of this grace period, Zennor will automatically execute a permanent cryptographic purge of the Clinic’s database from its active servers. Zennor assumes no liability whatsoever for the loss of statutory clinical records resulting from the Clinic’s failure to export their data within the allotted timeframe.

Part B — Patient-Level Cancellations

Appointment Cancellations

Governed by the individual clinic’s policy. General guidelines where no clinic policy is separately stated:

  • 24+ hours in advance: No cancellation fee; eligible for rescheduling or credit
  • Within 24 hours: May be subject to a late cancellation fee at the clinic’s discretion
  • No-show: May forfeit the appointment credit or incur a no-show fee at the clinic’s discretion

Contact the clinic directly to reschedule or cancel. Zennor does not independently manage appointment changes on behalf of clinics.

Membership Cancellations

Patient memberships are governed by the individual clinic’s membership terms. Memberships are valid for the period purchased. Cancellation requests should be submitted directly to the clinic. Unused sessions upon cancellation may or may not be eligible for credit, as determined by the clinic.

Treatment Package Cancellations

  • Cancellations before any sessions are consumed may be eligible for refund or credit at the clinic’s discretion
  • Partially consumed packages will be assessed by the clinic for proportional refund, if applicable
  • Sessions once delivered cannot be refunded

Promotional Offer Cancellations

Promotional offers are non-transferable and may be cancelled or modified by the clinic, subject to Consumer Protection Act guidelines. Once redeemed, offers cannot be reversed.

Clinic Override

Individual clinics may set their own cancellation and no-show policies within Zennor. Where a clinic’s specific policy differs from the general guidelines above, the clinic’s policy governs.
